HELiO Preview & Publish | Envoyage US | Sending Confirmed Bookings to TRIPS

Preview & Publish is a functionality built into HELiO and is how you will send your confirmed bookings to TRIPS.
  1. Quotes sent via Preview & Publish will NOT generate a TRIPS itinerary.
HELiO branding will vary depending on your brand. Flight Centre branding is used for illustrative purposes in this article.


Step 1: Send Confirmed Booking to TRIPS

When you're ready to send your confirmed booking to TRIPS, select  Preview & Publish.



In the pop-out that displays under the PUBLISH tab:
  1. CHECK the box beside Itinerary Document.
  2. UNCHECK the box beside the Guest name so your customer will not receive an email.
  3. Click PUBLISH to send your booking to TRIPS.


To send a HELiO booking that has been ammended/updated since the first time it was sent to TRIPS, repeat the above steps.

Step 2: Import your HELiO booking in TRIPS

Launch TRIPS from Home.
  1. From your Dashboard, select Booking Inbox from the left-side menu.
  2. In the Keyword filed, enter the HELiO booking number.
  3. Click SEARCH.
  4. (Optional) Click the Arrow icon to view the segments that will be imported from HELiO.
  5. Select the Options icon to the right of the displayed HELiO booking and;
  6. Select Create a new Trip or Add To Trip (if you have already created a Trip that you want to add this booking to).



Now that your HELiO booking has been imported, follow these remaining important steps:
  1. Add a Cover Photo
  2. Add your traveller(s)
  3. Publish the trip - to send your customer their itinerary link
HELiO bookings sent to TRIPS in DEFINITE status will include a quote note with the total pricing. This note segment can be deleted if not required.
HELiO bookings sent to TRIPS in the FIRM or FULLY PAID status will not include pricing.
After making ANY changes to your HELiO booking, select Preview & Publish and Publish your booking again. See Step 1: Send Confirmed Booking to TRIPS above. This will automatically update any Trip that this HELiO booking has been imported in to. This will ensure your customer is viewing their most up-to-date itinerary.
IMPORTANT REMINDERS

If manual changes are made to a segment imported from HELiO, these edits will be OVERWRITTEN if you re-send your HELiO booking to TRIPS, or re-import the booking.

Any changes to your HELiO booking must be made in HELiO first. Once updates/changes have been made, Send to Trips again to update your customer's Trips itinerary. If a HELiO booking is cancelled (or any segment within a booking), it MUST be sent to Trips so your customer has the proper itinerary details. Cancelled segments will be removed from Trips. This is especially important if there are flight segments contained in your HELiO booking so your customer does not receive flight reminders and notifications for flights they are no longer travelling on.
Before pushing your first customer booking from HELiO to Trips, or the first time after changing stores, please log into Trips via Okta to ensure your contact details are updated and reflected on customer documentation and your account is linked correctly to HELiO.
